PropLedger is operated by PropLedger Pty Ltd (ABN pending), an Australian company. We provide property health reports for residential properties across Australia. In this policy, “we”, “us”, and “PropLedger” refer to PropLedger Pty Ltd.

2. Information We Collect

We collect the following types of information:

• Account information: Name, email address, phone number, and password when you register.
• Property data: Address, property details (heating, cooling, ventilation, year built), and uploaded evidence documents (inspection reports, invoices, certificates).
• Usage data: Pages viewed, features used, and interaction patterns to improve our service.
• Device data: Browser type, IP address, and device information collected automatically.

3. How We Use Your Information

We use your information to:

• Generate property health reports with accurate scoring across 8 environmental health modules.
• Classify uploaded documents using our private AI/OCR pipeline (PaddleOCR).
• Provide suburb benchmarking by comparing your property against local climate and amenity data.
• Send transactional emails (report generation, email verification, share notifications).
• Improve our scoring algorithms and platform features.
• Respond to support requests and account enquiries.

4. Document Processing & AI

All document processing happens on our private servers using PaddleOCR. No document data is sent to external AI services. Extracted OCR text is used solely for document classification and is not retained after processing. Uploaded files are stored encrypted (AES-256) and can be deleted by you at any time.

5. Data Sharing

We do not sell your personal information. We share data only in these circumstances:

• Share links: When you generate a share link for a report, the recipient can view the report data you choose to share. Share links are time-limited and can be revoked.
• Property managers: If your property is managed by a property manager on our platform, they can view property data and reports for properties they manage.
• Service providers: We use Brevo for transactional email delivery and Railway for hosting. These providers process data under strict contractual obligations.
• Legal requirements: We may disclose information if required by Australian law or court order.

6. Data Storage & Security

• All data is stored on servers hosted by Railway (cloud infrastructure).
• Uploaded documents are encrypted with AES-256 at rest.
• Passwords are hashed using bcrypt and never stored in plain text.
• Share links are time-limited and can include watermarking.
• All connections use TLS 1.2+ encryption in transit.

7. Your Rights

Under Australian Privacy Principles (APPs), you have the right to:

• Access your personal information held by us.
• Correct inaccurate or incomplete information.
• Delete your account and all associated data at any time via Dashboard → Settings.
• Export your property data and reports in PDF format.
• Withdraw consent for marketing communications at any time.

8. Cookies

We use essential cookies for authentication (session tokens) and basic analytics. We do not use third-party advertising cookies or tracking pixels. No personal data is shared with advertisers.

9. Children

PropLedger is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this privacy policy from time to time. Material changes will be notified via email to registered users. The “Last updated” date at the top reflects the most recent revision.
